Treat access as an operating routine

For a shop, office or small service business, a security system needs to fit how people arrive and leave. Write down who opens, who closes, who handles unexpected alerts and who can authorise changes. A system that only the owner understands can become difficult to use when shifts change. Begin with those responsibilities before choosing additional hardware.

Use individual access where the system supports it

Ask your provider whether staff can have separate user codes or accounts. Keep a record of who has access and avoid distributing an owner’s account for ordinary daily use. Where supported, give each person only the permissions they need. An event history may help you understand which credential was used, but it is not proof of who physically entered: credentials can still be shared.

Plan for cleaners, contractors and temporary staff

Decide how temporary access will be granted, checked and removed. If scheduled or expiring credentials are available, confirm their behaviour with your provider rather than assuming a code stops working automatically. Consider what someone should do if the premises are already armed when they arrive. Give them a clear contact route, and avoid posting alarm instructions containing sensitive codes in public areas.

Write an opening and closing checklist

Keep the daily steps short: check the relevant entrances, follow the approved arming procedure, confirm the system’s status and report faults. Ask the installer how entry delays and any available schedules fit your business hours. Arrange demonstrations through the monitoring provider’s test procedure. Do not use a live alarm as a staff exercise. Make sure backup contacts know their role if the owner cannot answer.

Review access when responsibilities change

When someone leaves or no longer needs access, review alarm users, camera sharing, smart locks and other connected accounts separately. Removing access in one system may not remove it elsewhere. Also review who can add new users and who receives alerts. Repeat the check when a contractor finishes or the opening routine changes.
